Go to the Audits page (via the Audits menu, or Organisations > select organisation > Audits) and click “Add Audit +”. For a national audit, select Audit Type, Organisation and Audit Period; the name and dates fill in automatically, then click Save. For a local audit, first create a Local Audit Period (Organisations > select organisation > Audit Periods > “Add Audit Period +”, enter a name, start date and end date, Save), then go to Audits, choose Audit Type “Local” and select that audit period.
Go to Organisations, select the organisation, then choose Users from the organisation menu and open the Auditor dropdown list. Click “Add New+”, search for the user, click them to highlight in green, then click Done. If the person is not yet a user, you must first create them as a new user before adding them as an auditor. To remove an auditor, click Edit List, click the red dot beside their name, and Save.
Go to Organisations, select the organisation, then choose HCW Types from the organisation menu and click “Add HCW Type +”. Enter a unique code and a name as it should appear on reports, then select the applicable Parent HCW Type and click Save.
New local HCW Types are grouped under an existing Parent HCW Type (Parent types themselves are set by HHA and cannot be edited). Local types only affect local reporting; National Reports always report at the Parent HCW Type level.
To add a department, go to Organisations, select the organisation, choose Departments, then click “Add Department +”. Enter a unique code, the name as it should appear on reports, optionally a parent department, and the ward type, then Save.
To edit a department, click its code or name in the department list, change the name or type on its details screen, and click Save. Unchecking “Active” and saving will hide an inactive department from data entry while keeping its historical data; deleting is only possible if no sessions are attached to it.
From the Sessions page (an auditor’s home page, or via Sessions/Organisations menus for others), click “Add Session +”, fill in the session details and Save. The moment entry fields then appear above the session, where you can select values from dropdowns or type letters/numbers as shortcuts, saving each moment with the row’s save button.
To edit a session’s moments later (only while the audit is still “Active”), open the session from the Sessions list, click edit beside the moment you want to change, adjust the fields, and click save next to that moment.
Click Users in the top level menu, then “Add User +”. Enter a unique username, first and last name, a recovery email address, optional contact details, and a password (confirmed by re-entering it); optionally tick “Force password change” so the user must reset it on first login. Click Save, then use “Assign Role” to select the appropriate role and level (organisation and/or department) and assign it.
The Reports/Home page lists Standard Reports and Custom Reports. Standard Reports (Compliance Reports, Poster Reports, Auditor and Sessions Report, Export CSV Line Data) update instantly: choose the report, set filters such as audit period or date range and organisation/department, then Run Report and download as PDF or spreadsheet.
Custom Reports (Snapshot Reports for a specific period, and Trend Reports for changes over time) are built in three steps: select content and entity type, set filters, then choose stratification and display columns before clicking Generate Report and Generate Graph. Custom report data updates overnight rather than instantly.
Go to the Audits page (Audits menu, or Organisations > select organisation > Audits) and click the name of the audit you want to submit. If its status is “Active,” a “Submit for Approval” button appears; click it, then confirm OK in the pop-up. The audit’s status changes to “Pending Approval” and no more sessions can be added; once approved by a higher-level administrator (if applicable), the status changes to “Complete.”

If you meet either of the following criteria, then your login will be deleted, or your auditor role removed.
The “role” of auditor will be removed if you:
- Have old session data (collected > 1.5 years ago) AND
- Username was created >1yr ago AND
- Your last log in was >1.5 years ago OR you have never logged in
Your login will be deleted if you:
- Have NO data AND
- Username was created >1yr ago AND
- Your last log in >1.5 years ago OR you have never logged in
